The 12 Days of Christmas Day 1 – The gift that keeps on giving: Why ERP systems are every business’s Christmas miracle

Welcome to the first of 12 Days of Techmas by Arribatec. To get us in the mood, let’s start with a little festive story that shows how the right tech can transform the office atmosphere, even in the busiest month of the year.

 

Meet Finn the Office Elf! 

Finn is not the loud type. He doesn’t stand in the spotlight, and he avoids fuss. His job is to keep the office running smoothly, ensure jobs get done on time, and prevent small problems

On Thursday 23 October, Arribatec were delighted to attend the official launch of Housing 21’s new Unit4 Enterprise Resource Planning (ERP)project at the Park Regis Hotel, Birmingham

 from becoming big ones. He looks after stock lists, checks files, tidies shared folders and reminds staff when something needs their input. In short, he tries to stop chaos from creeping in. 

But December was always tough for Finn. With year-end reports, last-minute orders and teams rushing to finish tasks before the break, the office felt like a gift shop on Christmas Eve. Numbers didn’t match. Staff were working from old files. Someone would send an urgent email asking for a report that had already been done, but was saved in the wrong place. Finn felt like he was wrapping gifts while blindfolded. 

He did his best, but his best never seemed good enough. That changed one morning in early December.  

A system that changed everything 

Finn arrived at work to find a new icon on his screen and a note from the boss: “We are setting up an Enterprise Resource Planning (ERP) system. Give it a try.” 

The name sounded boring, but Finn soon realised it was anything but. Once he opened it, he saw that it brought finance, stock, sales, HR, and more together in one place. It was like magic after years of jumping between tools that wouldn’t talk to each other. 

He clicked through each area and felt calm wash over him. It was the first morning in December that he hadn’t felt tension in his neck.  

Why did it feel like Christmas miracle 

1. There was one place to go for everything. 
 
Finn’s biggest challenge was constantly untangling a mess of data. Teams were forever storing things in different folders or tools, which just led to confusion. But then the ERP came along, and suddenly he could see all the key numbers in one place. No more hunting through emails to find out what the stock levels or sales totals were – just a simple, quick check. 
 
Having all this information in one place really did take a weight off his shoulders. The staff trusted the numbers because they all came from the same place, so they didn’t have to spend ages chasing each other up for the “latest version” of a file. Now there was only one version, and that was it.  
 

2. Fewer errors started to become the norm 
 
Little slips used to drive Finn mad. A wrong date here, a missing line in a spreadsheet there, a member of staff using an old templateall these things would slow down big tasks and keep him working late. 
 
But with the ERP, many of these steps were automated. When sales logged a new order, the stock automatically updated. When finance posted a cost, it automatically linked to the right projectFinn didn’t have to lift a finger. Fewer manual steps meant fewer mistakes, and fewer mistakes meant much less stress for the staff. 
 

3. The flow of work across teams got a lot smoother 
 
One of the things that had been driving Finn mad for years was trying to get teams to share their work. Sales would be waiting for someone to do a stock check, stock would be waiting for someone to finish in finance, and finance would be waiting for HR to sort out this or that. It was a constant loop that kept everything slowing down. 
 
But then the ERP settled in and suddenly all these slow loops just vanished. The flow of work just kept moving steadily, rather than bouncing back and forth between teams. Sales could see the stock levels in real time. The stock team could see the new orders as soon as they came in. Finance got their figures straight away. 
 
It was like someone had just cut the backlog of traffic, and suddenly the road just flowed again. 
 

4. There was clear insight into what was really going on 
 

Always before, it had been a bit of a guessing game. Without clear insight, teams were working in the dark, hoping that the stock levels were correct, that demand would match supply, and that the reports were accurate. 
 
But the ERP put a stop to all that. Suddenly, Finn could see trends, spot likely issues, and pass on the information to the team so they could start planning with a fair bit of confidence. We stopped guessing and started getting things right. 
 

A gift that keeps on giving all year round 

As time went on, Finn realised that the ERP wasn’t just a Christmas miracle specific to Decemberit made every month just that little bit easier. Staff had more time to get on with the things that mattered; fewer things fell through the cracks, and the whole office just felt less tense even when things got busy. 

Finn still moved around, helping wherever he was needed, but his work was no longer all about firefighting. The ERP had taken some of the heavy lifting off his hands, allowing him to focus on supporting the team rather than just coping with the day-to-day. We even managed to get some biscuits from the shop – something we hadn’t managed to do for years.
